Associate Registrar

Position Description

Title: Associate Registrar
Department: Office of the Registrar
Reports To: Registrar

Employment Status: Full-time; Exempt
Salary: $60,000 to $65,000

Summary

The Associate Registrar partners with the Registrar and Senior Associate Registrar to oversee the overall operations of the Office of the Registrar. This includes the management of student records and official and unofficial transcripts, grade petitions, monitoring academic guidelines, completing degree audits, student advising, and scheduling students for their classes. This position will meticulously ensure compliance with state and federal regulations, including NYSED and FERPA (Family Educational Rights and Privacy Act), and professional best practices, as well as internal policies, procedures, and regulations. The successful candidate will be highly proficient with higher education systems and software and with technology applications. This position will be responsible for supervising Student Workers in the Office of the Registrar.

Domains

Systems Administration

  • Serve as information systems lead for the office, collaborating with the Registrar and with Information Technology staff regarding the implementation and maintenance of Student Information System (SIS), currently Jenzabar EX/J1.
  • Exercise independent judgment to guide processes related to the SIS and any new software or updates to current systems that the School may implement.
  • Responsible for the maintenance of Registrar pages of the student portal and MSM website to provide timely information to students.
  • Develop and prepare reports; analyze statistics and data regarding registration and enrollment to refine procedures, policies, and practices.
  • Coordinate with Academic Affairs in preparing the course schedule, maintaining and updating course information in SIS.

Student Advising and Registration

  • Serve as academic advisor for students in bachelor’s degree, master’s degree, and professional certificate programs.
  • Advise students on degree requirements within a complex and highly major-specific course grid, exercising discretion and expertise.
  • Pre-register incoming and continuing students for required courses consistent with their academic plans.
  • Process withdrawals, leaves of absence, independent study applications, auditing requests, and other special petitions.
  • Record placement and qualifying exam results in students’ records, and adjust their schedules, as necessary.
  • Prepare projected plans of study for students in academic difficulty and returning from leave of absence.
  • Participate in the administration of Barnard cross-registration program and exchange student registration.
  • Participate in the administration of Global Conservatoire cross-registration program.

Reporting and Recordkeeping

  • Develop and implement operational policies, procedures, and training for staff.
  • Collect, record, maintain, and report student data within FERPA guidelines.
  • Assist in planning and preparation of year-end jury examinations in collaboration with Department Chairs; process jury score calculations, and record scores and grades in SIS.
  • Assist with preparing materials for the Academic Progress Committee and communicate Committee’s decisions to affected students.
  • Assist with office communications to campus constituents.
  • Represent the Office of the Registrar on committees and work groups related to areas of responsibility.
  • Perform other duties as assigned.

Job Requirements

  • Bachelor’s degree required; Master’s degree preferred.
  • 3-5 years of experience working in a Registrar’s office or similar office within higher education; conservatory or music school preferred.
  • Familiarity with a musical curriculum and music school culture preferred.
  • Experience with Jenzabar suite of products (EX/J1) or other higher education SIS.
  • Proficiency in using software packages, including Microsoft Office Suite; aptitude for learning new computer software.
  • Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
  • Excellent written and oral communications skills, strong attention to detail to ensure accuracy, strong analytic and problem-solving skills, ability to multitask, effectively prioritize work, and adjust to changing workloads and deadlines
  • Demonstrated ability to maintain a high level of discretion and confidentiality.
  • Ability to provide excellent customer service; communicate effectively, efficiently and in a timely manner with students and faculty regarding policies, deadlines, and other matters.
  • Knowledge of and ability to enforce academic policies and requirements in accordance with institutional, State, and accreditation requirements.
