Facilities Coordinator

Position Description

Title: Facilities Coordinator
Department: Facilities
Reports To: Associate Director of Facilities Operations
Supervises: Student Workers
Internal Contacts: Students, Faculty, and Staff, including cleaning, security and maintenance staff
External Contacts: Contractors, Vendors, State and City Agencies, others as required
Incumbent: Vacant
Employment Status: full-time; non-exempt
Salary range: $50,000 to $51,500


  • Work with Associate Director of Facilities Operations and Director of Engineering and Life Safety to assign work to daytime and overnight cleaning and maintenance staff.
  • Perform clerical duties for department, including but not limited to credit card reconciliation, check requests, payroll, and tracking paid time off for maintenance staff.
  • Liaise with contractors and vendors as required.
  • Work with cleaning and maintenance staff to maintain inventory of tools, supplies, and equipment.
  • Represent Facilities Department at staff meetings as required.
  • Ensure contractors and vendors keep proper insurance documents on file with the School.
  • Maintain campus Lost and Found.
  • Organize and distribute keys.

Job Requirements

  • Associates Degree required.
  • 2+ years of facilities or office management experience.
  • Accounts payable experience preferred.
  • Proficiency with Microsoft Office including Word, Excel and Power Point.
  • Working knowledge of scheduling software a plus.
  • Maintains high level of confidentiality.
  • Strong customer service and interpersonal skills
