Housing Operations Coordinator

Position Description

Title: Housing Operations Coordinator (Live-Off)
Department: Office of Residence Life
Reports To: Director of Residence Life
Supervises: Student Workers, Resident Assistants, Graduate Assistants
Internal Contacts: Students, Staff, and Faculty
External Contacts: Custodial, Security, and Parents
Employment Status: Full-time; Non-exempt

Domains

Housing Operations

  • Maintains the overall housing records for the School.
  • Plans and implements the annual housing selection and assignment process.
  • Tracks and maintains a database of all housing fees, fines, and damage charges.
  • Handles roommate mediations and housing changes.
  • Liaises with the Bursar’s Office to ensure account changes and refunds are processed in a timely manner.
  • Tracks and maintains winter and summer housing sessions.
  • Oversees the planning and implementation of all move-ins and move-outs.

Facilities

  • Maintains and enhances the working partnership with the Office of Facilities.
  • Oversees the general upkeep and functionality of Andersen Hall.
  • Monitors and follows up on all maintenance requests as needed.
  • Coordinates functional aspects of facilities projects, and notifies who may be impacted.
  • Tracks and maintains Room Condition Forms.
  • Creates and manages lists of key and furniture inventories.

Programming

  • Coordinates and implements regular small-scale Residence Life programming.
  • Assists the Director in creating larger-scale Residence Life programs and traditions.
  • Coordinates all social media efforts for the Office of Residence Life.

Assessment Support

  • Distributes and analyzes the annual Quality of Life survey.
  • Assists in long-term planning and assesses student housing needs.
  • Completes quarterly reports and submits to the Director.

Student Conduct Support

  • Creates and manages documents for students involved in incident reports.
  • Under the supervision and guidance of the Director of Residence Life, acts as a hearing officer for Student Code of Conduct cases.
  • Tracks and maintains a database of all judicial cases, including incident reports, dates of meetings, hearing results, and sanctions imposed.
  • Runs reports and participates in data analysis to identify trends related to student conduct.

Summer Conferences

  • Maintains current conference partnerships and assists in seeking new partnerships.
  • Oversees room assignments and check-in/check-out processes for all summer guests.
  • Co-Supervises summer intern, including all employment and compensation paperwork.
  • Coordinates the cleaning schedule and transition to summer room assignments.

General

  • Maintains professionalism and represents the Student Affairs staff at all times.
  • Serves as a friendly and approachable resource to all students.
  • Oversees the day-to-day operation of the department, and answers all student questions in a timely manner.
  • Recruits and supervises student office workers.
  • Collaborates with Student Affairs team, and participates in division-wide initiatives.
  • Participates in student leader recruitment & selection.
  • Prepares and presents housing-related training sessions for Resident Assistant training.
  • Participates in regular supervision meetings with the Director of Residence Life.
  • Provides emergency and crisis response as necessary.
  • Performs other duties as assigned.

Job Requirements

  • Bachelor’s degree required, Master’s degree preferred.
  • At least one year of experience working in higher education or student affairs.
  • Past experience as a student leader preferred.
  • Exceptional attention to detail and organization skills.
  • Clear and consistent written and oral communication skills.
  • Team player with a strong work ethic and a sense of humor.
  • Passionate about working with a diverse and international student population.
  • Positive attitude with a creative approach to managing difficult situations.
  • Energetic, flexible, collaborative, and proactive.
  • Ability to maintain a high level of confidentiality.
  • Sensitivity to and understanding of musicians and artists.
  • Passion for Manhattan School of Music’s mission.
